● As Bloombox Club scaled across the UK, France, Spain, and Italy, managing inventory across disconnected regional spreadsheets created frequent stockouts, shipping errors, and manual overhead.
● They needed: One source of truth + Cross-market synchronization+Bundle management+Visibility across location
● As Lead Product Designer, I partnered inside a Product Trio with Product Management and Backend Engineering to design InventoryOS—a unified B2B internal platform connecting a central Holland warehouse to four international storefronts via real-time API integrations.
The Problem: Multi-country unlinked inventory and Operational Mismatch
● When Bloombox expanded into 4 European markets, operations were running on fragile, manual processes and disconnected spreadsheets.
● Fragmented Visibility: Stock allocation across France, Spain, Italy, and the UK was managed manually, leading to inventory discrepancies across 4,235 products.
● Bundle Friction: Creating dynamic product bundles (e.g., combining a Monstera plant with a ceramic pot) across multiple storefronts required tedious individual updates, causing high operational overhead.
● Sync Errors: API sync drops went unnoticed until localized checkout errors occurred, directly harming international conversion rates.
Role and Collaboration
● Role: Lead Product Designer (End-to-End System Architecture, Service Blueprinting, UI Design System, Handoff)
● Team: Product Trio (PM, Lead API Engineer, Product Designer) collaborating directly with regional operations leads and warehouse managers.
The Process
● Operations interviews ● Task decomposition ● Service blueprinting ● Workflow optimization ● Continuous iteration with engineering
Hands On Designing the UX | UI Solution
● We needed a centralized operational dashboard that could balance complex multiple country inventory visualization with intuitive status controls and a design system built on tokens and component libraries to keep our product consistent as it would scale:
● Key Design Decisions: • Create inventory hierarchy architecture • Introduce bundled-product creation • UX design for multi-location inventory visibility • Reduce decision complexity • Have one source of truth for the four countries.
● Scalable Design System
● Overview & Real-Time Alerting for supply
• Metrics: We added positioned key indicators at the top (example: Total Units in Holland: 42,350, Allocated Stock: 2,500, Active Bundles: 45, Stock Alerts: 3) so operation managers instantly understand global supply status.
• Warning Banner: Given that multiple sync errors would go unnoticed, we designed a notification bar for critical low-stock items ( Fiddle Leaf Fig, Snake Plant, Bird of Paradise) to prevent overselling before sync errors happen.
• Multi-Market Breakdown: Added tables displaying the stock levels per country (FR, ES, IT, UK) alongside with price, status tags (example: Healthy, Low Stock, Critical), and sales indicators.
● Cross-Market Bundles Engine
• Single-Click Bundle Management: Created a dedicated Bundles Management portal to streamline cross-market product packaging (e.g., Monstera Deliciosa + Pot + Pothos Golden + Pot + Snake Plant). Bundles where specially common during peak holidays seasons and for subscriptions.
• Global Sync Status & Activity Feed: Integrated a real-time Sync Status section showing individual market API connections (FR, ES, IT, UK) tracking sync triggers and failure alerts (example: ES - partial sync: 3 items).
● Enterprise Design System & Navigation Architecture
• Navigation Menu and Information Architecture: Structured a collapsible left-side navigation separating main workflows (Overview, Products, Bundles, Fulfillment, Warehouse, Sync Status) to accommodate main operational tools.
• Accessible UI Polish: Built clear status badge patterns (Green for Healthy, Yellow for Low Stock, Red for Critical) paired with a high-contrast dark sidebar and clean typography to optimize for fast, low-fatigue scanning during long operational shifts.
● The Business Accomplishment and Operational Impact
• Unified Operations: Successfully consolidated inventory tracking across 4,235 SKUs and 4 international markets into a single source of truth
• Eliminated Sync Errors: Drastically reduced multi-warehouse sync discrepancies and operational software errors by -22%.
• Multi-Market Scalability: Supported European expansion and syncronized operation, helping drive +35% acquisition growth across 4 localized markets
• Integrated and improved inventory management
• Strengthened subscription bundle creation and minimized shipping errors
